Your BEP Isn’t Sacred, let’s Adapt It to the Project!😇

Your BEP Template Isn’t a One Size Fits All Hat 🎩

Some organisations treat their BEP like gospel, untouchable, unchangeable, and definitely not to be messed with. They refuse to tweak even a single word 🤯 because... well, effort… or maybe it’s a trust issue? not fully trusting their teams to make smart adjustments?

But here’s the truth: your company-wide BEP is a starting point, not the final Bible. Treating it like a rigid document that applies to every single project is not only unrealistic, it’s risky. Every project is different. Every client is different. So why are you using the same BEP over and over without adapting it?

A BEP should be tailored to the project, shaped around the Client’s Information Requirements (IRs), project goals, stakeholders, delivery methods, and digital maturity. If your BEP doesn’t reflect the actual needs of the client and project, then you're already off track before the first model is created.

Don’t Let a Static BEP Create Dynamic Problems

Think about it. A BEP that ignores project-specific details can create serious misalignments. People end up working to outdated assumptions, deliverables are miscommunicated, and teams waste time second-guessing expectations.

➡️ A project-aligned BEP sets the tone for better collaboration, less confusion, and smoother delivery from day one.
➡️ It ensures that what’s in your models, schedules, and data matches what the client expects, without last-minute surprises.

Let’s say it louder for the people at the back:

A BEP should serve THE project! not the other way around!

Real Talk From the Field

At BIM KARELA, we’ve seen it all from bloated BEPs that no one reads, to copied templates from completely unrelated projects. One size never fits all!

When we create or review BEPs for clients, we don’t just tick boxes! No, no… We make the BEP actually useful both for clients and for the Delivery Teams who needs to follow it:

Our Focus When Creating or Reviewing BEPs:

✅ Aligning with Client IRs, including EIRs, AIRs, and any additional standards or reference material
✅ Interpreting these requirements in a way that’s practical, clear, and easy for delivery teams to follow
✅ Keeping the document structured, concise, and actually readable, no 100-page walls of text
✅ Adapting sections based on how the project is being delivered (Traditional procurement? ACC or not?)
✅ Embedding realistic roles and responsibilities — reflecting actual team structure, not just an org chart
✅ Including only what's necessary to support project delivery, not just to legally protect ourselves
✅ Making sure the BEP contains all relevant info in one place, in line with ISO 19650
✅ Where useful, exporting key sections (like naming conventions or approval workflows) as appendices or separate guides — so they’re easier to reference

So let’s normalise adjusting your BEP like the smart professionals we are. It’s not a hassle. It’s just doing BIM properly. 😌

And yes, templates save time — but only if they’re flexible, modular, and meant to be adapted, not blindly reused.

So, let’s be real, adjusting your BEP isn’t a hassle, it’s just doing BIM processes properly 😉
